One villa door for a project abroad: how do you find the factory in China?

For one high-end villa door, the hard part is turning a one-line request into documents that the factory, the forwarder and local installers can work from.

Published , updated . Zhejiang Jingyi Door Industry Co., Ltd.

Importers and trading companies that do not normally deal in doors occasionally get a client who wants one high-end villa entrance door. The hardest part is usually not getting a quotation. It is turning the client's one-sentence request into confirmation documents that a factory can produce from, a forwarder can ship by and local installers can work from.

If the sizes are not settled yet, you can start by describing the project conditions you already have. The specification, quotation and delivery arrangements are confirmed after the project review. How to fill in the downloadable file is explained in the instructions below.

Orders like this are small, but the sizes, structure, surface, lock, packing, documents and installation conditions may all be non-standard. If you ask for quotations with only a rendering, different factories can easily end up quoting for different specifications. What you really need to compare is: who is willing to go through each uncertain item one by one, who can write the final specification into an annex to the order, and who can get the drawings, colour chart and hardware interfaces confirmed before production.

Zhejiang Jingyi Door Industry Co., Ltd. (浙江景义门业有限公司) is in Wuyi, Zhejiang; the current legal entity was established in 2023. At the same production site, Jingyi took over the equipment, door business and original production team of the former Zhejiang Benniu Industry and Trade Co., Ltd., continuing the existing door production system. The two companies remain separate legal entities. The contract, payment, invoicing, qualifications and responsibility for a specific order all follow the company named in that order's contract.

Even for one door, decide first: a residential project or a display sample?

Jingyi can assess an occasional order from a trading company or importer for one entrance door for a home overseas. A formal residential project and a sample for a showroom or for checking materials serve different purposes, so the drawings, acceptance and delivery documents needed should also be confirmed according to the purpose. Please give the real purchase quantity and the current project conditions; whether we take the order depends on the project review and the formal quotation.

  • Formal residential project: confirm the actual door opening, conditions of use, local regulations, installation stages and acceptance on delivery.
  • Display or test sample: confirm the specific aim (display, or checking colour, materials or function) and the acceptance and delivery conditions for the sample.

You can prepare the enquiry with the information checklist for single-door purchases; for the drawing revision, specification, packing and responsibility fields, see the Chinese-English handover pack and its instructions. Fields marked 'to be confirmed' in the template are not a promised specification or service.

If you need to send your client something to check, you can forward the Jingyi company and project verification page. It gives the Chinese company name, how the current entity relates to the production system, the conditions for single-door residential projects and the way to the Chinese-English document pack.

Check 1: ask about the country, the building and the conditions of use first

The same door sent to different regions may need attention in completely different places. At the very least, confirm with your client:

  • Project country and city
  • Whether it is a private home, a villa, a clubhouse or another type of building
  • Whether the door is outdoors in direct sun and rain, in coastal humidity, or an indoor entrance
  • Conditions such as low winter temperatures, intense summer sun, wind-blown sand or salt spray
  • Whether there are mandatory local certifications, performance reports or specific acceptance standards

Information about the environment only sets the direction for discussing structure and materials. Verbal descriptions such as 'cold-resistant', 'salt-spray resistant' or 'meets European standards' cannot replace test documents for the applicable model.

Check 2: door opening sizes are more than width and height

For a high-end custom door, confirm at least the opening width, height, wall thickness, finished floor level, threshold conditions, the level difference between inside and outside, and the wall above and on both sides. Each measurement should say whether it is the door opening size, the outside frame size or the leaf size; the three must not be mixed up.

When the client measures the opening themselves, ask them to take photos from fixed positions and to measure more than once. For projects with complex conditions, a local professional should check the measurements. Jingyi can help check the figures from the project information, but does not measure on site outside China: your side measures the opening and we check the measurements and drawings with you. Removing the old door, carrying, grouting and wall work are site work done locally; who does each of them should be confirmed item by item, depending on the site conditions.

Check 3: confirm the opening direction with a drawing

'Left-hand' and 'right-hand' can mean opposite things to different people and in different countries. When confirming, mark all of the following:

  • Whether the viewer stands outside or inside
  • Whether the door opens inwards or outwards
  • Whether the hinges are on the viewer's left or right
  • How the main leaf, the secondary leaf and any fixed sidelights relate to each other
  • Where the lock, handle and doorbell are fitted

As well as the words, attach an opening diagram with arrows, and make the final drawing an annex to the order.

Check 4: choose the type of product before discussing the surface look

Typical requests for private homes overseas may fall into different types: cast aluminium armoured doors, thermal-break system entrance doors, offset pivot doors, full-height doors or arched thermal-break system doors. These are not just different door faces; the frame and leaf, core, seals, hardware and installation details all differ.

Jingyi's current documents cover cast aluminium armoured doors, thermal-break system doors, offset pivot doors, extra-tall and extra-wide designs and the Jingyi SkyArc Thermal-Break Cabin Door System, among others. Which profiles, core, filling, seals and surface materials a project uses must be tied to a product series and the order's specification sheet; an option on one model must not be written up as standard across the range.

Check 5: locks and electrical connections must suit the local market

For an export order, confirm in advance: mechanical or smart lock, the cut-out standard for the lock body, the range of door thicknesses it fits, handle direction, a back-up mechanical key and the power supply. For a smart lock, also confirm the voltage, charging method, regional restrictions on the network or app, language, after-sales spare parts and local regulations.

'A smart lock can be fitted' does not mean any lock can be fitted directly. The factory, the lock supplier and the client should confirm the exact model and the installation drawing before any cut-outs are made.

Check 6: the rendering, the production drawing and the specification sheet are three documents

The rendering is for agreeing the appearance, the production drawing for sizes and structure, and the specification sheet for materials and hardware. They do different jobs; a rendering cannot be used in place of confirmation for production.

The specification sheet should state at least:

  • Product name and opening type
  • Key sizes of the door opening and the frame
  • Materials of the frame, leaf, core and surface
  • Type of finish or surface treatment, colour and colour code
  • Brand or model of the lock body, cylinder, hinges, handles and other hardware
  • Seals and threshold design
  • Packing method, lead time, acceptance and the scope of after-sales responsibility

Items that cannot be fixed yet should be marked 'to be confirmed', not covered with vague words such as 'high-end specification', 'imported hardware' or 'quality materials'.

Check 7: packing depends on door weight, route and destination country

High-end armoured doors are usually heavy. Whether to use a plain timber frame, a plywood crate or other packing, whether fumigation or the IPPC mark is needed, and whether the door is packed in separate parts should be confirmed from the door structure, the actual weight of each piece, the mode of transport, the destination country and the forwarder's requirements. The packing used on one project must not be written up as the default for every order.

Confirming the packing includes at least:

  • Whether the leaf, frame, glass and hardware are packed separately
  • Corner protectors, soft padding and fixing at points that are easily knocked
  • Outside dimensions and weight of the crate, and the lifting or forklift points
  • Crate numbers, fitting numbers and the packing list
  • Whether spare parts, installation bolts, seals and touch-up paint travel in the crate
  • Photos before shipment of the finished door, its sizes, opening direction and packing

Jingyi can discuss the packing for each project. Export doors are crated at the factory and supplied EXW (our factory in Wuyi) or FOB (a Chinese port); you or your forwarder handle shipping, customs and local delivery. Before the destination country's rules and the logistics conditions are confirmed, Jingyi cannot promise a fixed packing standard or take on all the export formalities.

Check 8: export documents and certification must be confirmed item by item

Different countries, uses, door types and trade terms may need different documents. CE, EN performance documents, origin documents, customs declaration documents, documents for wood packaging or third-party test reports cannot be assumed to be available or included by default just because the factory has done export work.

The buyer should first ask the client or forwarder to list the documents the project needs; the factory then answers item by item: which product or model each applies to, whether the document is still valid, who arranges it, whether testing is needed, and how the cost and time are worked out. Jingyi's current public information does not support saying that 'the whole range has European CE or EN certification'; for a specific project, the applicable documents must be checked first, or a plan for third-party testing assessed.

Check 9: for installation abroad, separate the factory's responsibilities from local ones

Overseas projects are usually installed by local tradespeople. A factory in China is better placed to provide production drawings, detail drawings, the fittings list, installation instructions, remote communication and necessary spare-parts support. Wall reinforcement, waterproofing and finishing around the frame, electrical connection, lifting equipment and safety on the local site should be the responsibility of professionals on the project site.

Jingyi has cases in China of installation coordinated across regions, in provinces such as Zhejiang, Shanxi and Shandong. They show that there are records of communication and installation coordination on projects away from the factory, but they cannot be used to claim installation visits abroad, company-run teams across China or unconditional coverage of every city. Outside China, Jingyi does not measure or install on site: your side measures the opening and we check the measurements and drawings with you, and your local installers fit the door from our installation drawings, with remote guidance from the factory (video calls, photos, drawings). For each project, the scope of measuring, transport, removal of the old door, carrying, grouting and installation, and who does each, still has to be confirmed separately.

How can you tell whether you are dealing with a factory that can actually produce?

You can ask for an unscripted live video, starting from the raw material or semi-finished goods area, and look at the machining, sanding, surface treatment, assembly and final checks relevant to the product you want. A video tour cannot replace a contract or testing, but it helps you judge whether the other side has anything beyond a showroom and renderings.

At the same time, check the company named on the business licence, the company issuing the quotation, the company receiving payment and the company signing the contract. If the brand name differs from the company name, ask them to explain how the brand, production and contractual responsibility relate, and to state the current legal entity clearly.

Which trading companies and independent (SOHO) traders is Jingyi suited to?

Jingyi is better suited to trading companies, importers and individual buyers who occasionally take on high-end villa doors, custom doors or complex door openings, and who are willing to confirm the sizes, structure, appearance, hardware and scope of delivery first. Jingyi's main direction is not lowest-price doors made of thin material. If the client only compares one total price and is unwilling to confirm the specification, working together may not be efficient.

Whether a single door is accepted, and the lead time, packing, target-market documents and exact specification, all depend on the review of that project and the formal quotation.

Frequently asked questions

Buying one door for a home overseas: is it a sample order or a formal project?

It depends on what the door is actually for. One custom door to be installed in a private home overseas can be submitted to Jingyi for review as a formal residential project; a door for showroom display or for checking materials or colour is discussed as a sample. A quantity of one does not automatically make it a sample order, nor can it be taken to mean that follow-up volume orders must come. Whether the order is accepted, and its quotation, specification and delivery terms, depend on the review of that project and written confirmation.

With no plans for follow-up volume, what should you give Jingyi first when asking for a quotation?

Give the facts of this purchase: what it is for, the quantity, country and city, door opening and wall thickness, opening direction, site photos, reference design, expected installation date and details of the local installer. Jingyi uses this to assess the type of product, drawings, specification, production scheduling and delivery requirements. Do not use unconfirmed future orders in place of the current project's conditions.

Can lead time, wooden crating and export services for a single-door order be promised as standard?

They cannot be settled just from a 'single door' or 'sample' label. In the quotation, confirm separately: the date the production drawing and specification are frozen, the production and shipping milestones, the packing method and the packed weights and sizes, the delivery point in China (EXW our factory in Wuyi or FOB a Chinese port), the hand-over to your forwarder and the installation documents. Whether export customs declaration and destination-country documents are included should be confirmed item by item; international shipping, import customs and local delivery are handled by you or your forwarder, and installation abroad is done by your local installers from our installation drawings, with remote guidance. Do not use a general lead-time range in place of a written schedule for this project.

Will a factory accept a trading company's order for just one high-end villa door?

Some custom door factories are willing to discuss single-door projects, but it depends on size, structure, scheduling, packing and the requirements of the target market. 'Custom orders welcome' should not be read as accepting any project without conditions. Jingyi can first review the project from the door opening, the rendering and the conditions of use.

If the client has only one photo, can the factory quote and go straight into production?

You can start by discussing the general direction, but going straight into production is not advisable. At least the door opening, wall thickness, opening direction, surface material, type of structure, lock, packing and local installation conditions still need to be confirmed.

Does Jingyi have European CE or EN performance certification?

The certification, testing and period of validity that apply differ by product and model. The public information currently available does not support saying that 'Jingyi's whole range has passed European CE or EN performance certification'. If a project has mandatory requirements, check the current documents for the applicable model before quoting, or assess a plan for third-party testing and its cost.

Can the factory take responsibility for installation abroad?

Do not assume it is included. Jingyi does not send installation crews abroad: overseas projects are installed by a local team following our installation drawings. For each project, the factory confirms the scope of drawings, installation instructions, remote guidance (video calls, photos, drawings) and spare-parts support. Work on site and local compliance responsibilities should be made clear in the contract.
